Improvements to approval reminder emails

To minimise  publishing failures due to lack of pending approvals and help facilitate efficient and timely approvals, we’ve  made changes to how, when and to whom we send the approval reminder emails

  • In addition to the pending approval email that is sent as soon as a post is sent for approval, reminder emails will now be sent to each member of the assigned approval team starting 3 hours before a post is scheduled to be published.
  • Approvers will continue to receive periodic reminders until the scheduled publishing time.
  • The author of the post is copied on the first and final approval reminder.
  • A confirmation email is sent  to the author as soon as an approval is provided.

If for any reason an approval is not provided before the scheduled time, an approver can still choose to provide the approval within one hour (grace period) after the post scheduled time. After the grace period, the post will fail to publish and post authors will need to initiate the approval process afresh

Prerequisites

If you are expecting to receive an email or mobile push notification for post approvals, please follow the below steps

1.Email notifications - In your Marketing user profile settings, ensure you enable the option to receive notification when there is new outgoing content waiting for your approval. 

2.Mobile push notifications - In your Marketing user profile settings, ensure you enable the option to receive push notification when there is new outgoing content waiting for your approval.

points to Note:

  1. The reminder emails will not be sent if the post is already approved
  2. Incase the author does not want to receive any approval related emails including confirmation email, he/she can opt out of “Receive notification when there is new outgoing content waiting for your approval” in the notification settings section. 
  3. Incase an approver does not want to receive the reminder notifications including the grace period notification, he/she can opt out of “Receive alerts for activity needing action within the next few hours” in the notification settings section
