Ad Account Granular Permissions: Now Available!
We are excited to announce the release of Ad Accounts Granular Permissions in Social Marketing, which gives users the ability to explicitly include or exclude initiative access to ad account data.
Let’s dig in!
Ad accounts are authenticated at the company level in Social Marketing. When viewing the calendar for a given user and initiative, Khoros Social Marketing needs to know which ads from which ad accounts to show. We use the implicit mapping dictated by the authenticated social accounts in the initiative to set the groundwork. When displaying the calendar for a given user and initiative, the Khoros Social Marketing platform will display ads placed by the ad accounts for the social accounts of that initiative. We use the implicit mapping dictated by the authenticated social accounts in the initiative to set the groundwork.
Today, in the administration settings area of Khoros Social Marketing, users with a Company Admin or Manager role in the product can explicitly specify which initiatives the ad account’s data should be visible in. This keeps the implicit mapping between ad accounts/initiatives/social accounts but adds a control to dictate which mappings are allowed.
How do I get there?
There are two areas in the product where the ad account initiative mapping can be decided. If you have not authenticated your ad accounts yet, you can do this on the ad account authentication page. After you select the ad accounts you would like to add, you now have the option to select which initiatives the ads are visible in.
If you have already added in your ad accounts, you can also make updates to the initiatives where the ads are visible within the ad account information page. To navigate there, select “Ad Accounts” click into the ad account you would like to edit, open the “Initiatives” tab and toggle the initiative “on” or “off.”
When would I use this?
Let’s use an example. The Rocks and Ropes company had two ad accounts (let’s call them A and B) that publish to the Rocks and Ropes UK’s Facebook page which lives across 3 different initiatives. Rocks and Ropes wants to subdivide control in such a way that one set of users only see ads from ad account A, and another set from ad account B. This used to be impossible to do since mapping between ad accounts and initiatives is implicit by way of the social account (page.) Now, with the addition of this feature, Rocks and Ropes can select which initiatives the ads data should flow into.
This works best when initiatives are governed properly. If you have multiple agency users within social marketing, consider subdividing them into their own initiatives so they cannot see the others ads information.
Let’s address common questions:
- Q: Do I need certain permissions to access?
- A: Users with a Company Admin, Manager, or custom role with administrative rights are the only users who can perform this action.
- Q: What happens to my existing ad account/ initiative mappings?
- A: All initiatives that the ad account is connected to will be turned on by default since this is the existing relationship.
- Q: Can I choose to add an ad account to an initiative that it has no relationship with?
- A: No, users cannot add ad accounts to initiatives that do not already have that original connection. What social accounts are inside the initiative still have bearing on which ads are displayed.
- Q: I have a group of users that should not see any ads data in the calendar or analytics. What should I do?
- A: Visibility is managed in the Workspace settings. If you want to limit visibility into ads, you will need to be a company admin or manager role in Khoros, and create a custom workspace which will allow you to turn off ads visibility in the calendar, analytics, or both. (Review this article). Once you do that, you can assign that custom workspace to those users. (Review this article)
