Adding Labels and Plans to Posts in Bulk (A time Saving Tip!)

“You have no idea how much time you have saved me.”

“Are you kidding me? I wish I knew this sooner!”

As a product coach, these quotes are the type of user feedback you want. One of our primary goals is to grow our users’ knowledge so they can be more efficient and effective when they are using our platform. With that said, I have found that not everyone understands the process of bulk planning and labeling and why it is important to their reporting. It can also be a big time saver!

So let’s get into it:

First, let’s start with why we want to label outbound content. The simple answer is that by labeling our content, we are able to get more granular data in analytics specific to the post. I can use a label to identify certain themes, products or customer interest type in my posts. This gives me a better understanding of which posts are performing well relative to my overall goals.

Along with labels, what are some of the advantages of adding our content to a plan? The primary function of marketing plans is to provide thematic information about scheduled and published posts and to enable us to gather plan specific analytics. Plans work well when we use them to categorize campaigns, giving us a more organized and informed view.

Now that we know the why, let’s focus on the how.  

Most people that regularly use plans and labels know that they can apply them as they are creating the post. In some cases, labels are even made mandatory before publishing a new post, but there is a category of posts that will fall outside of this process: auto-imported posts. 

Auto-imported posts allow us to automatically import content published natively on a social media account into Marketing. For example, messages you post directly on Twitter or Facebook are treated as though they were published through Marketing so that they are tracked and measured. Auto-imported account metrics are fetched every hour. This is a critical function for tracking posts that Khoros doesn’t currently support and have to be published natively, like Instagram stories, as well as giving us visibility and analytics around all of the ads we are creating in Facebook ad manager.

The big difference between posts that are created in Khoros and posts that are auto-imported into Khoros is that labels and plans are not applied to the auto-imported posts, so we need to retroactively apply them. This is where we can utilize bulk planning and labeling to quickly add plans and labels to our auto-imported content. Some users have been doing this manually post-by-post. They select the individual post in the calendar and go to the details tab in the right side pop out where they add the label and plan to the already published post.

This is great for one-offs, but for situations where you just ran an ad campaign and you have many scheduled ads or you want to look back over a broad period of time and add a label to multiple posts, this can be time-intensive and potentially overwhelming. That’s where list view comes in.

 

List view allows us to filter our content, in this example, let’s say we want to put our posted ads in a plan and add labels.

Once we have the content filtered, we can select the small square in the top left corner to select all. Once we select all, we then see the option to add labels and plans to the content in bulk.

At the top there is an icon for labels which will give you a drop-down with the labels that will be added to all of the posts selected.

You can also see the icon that says “add to plan”. Once selected it will allow you to add all of the content selected to a particular plan.

This simple process is often overlooked, but for those users that are currently doing this post-by-post, it can really change your workflow and free up time to work on more strategic things.

  • It should say the top left corner. Not right for select all. 

    also some of our users see the select all but clicking on it does not work. Are there limits to “all” ?

  • jameslacorte When an ad runs across multiple days, the item is repeated in the list view on each day.  This inflates the number before you click "select all."

    You may notice that if you select the check box on a Multi-day ad, the same ad on a prior or later day will also show as selected on each day and the indicator at the top left will say "1 item selected."

    If you filter your calendar to only posts, you won't come across the discrepancy anymore and should help clear confusion!
